# Assessment Email Permission Matrix: Results, Nurture, and Sales Alerts

Route post-assessment email by purpose before routing it by score. Separate the requested result, operational messages, marketing nurture, and internal alerts. Store the permission source, scope, timestamp, notice version, and suppression state beside the contact; never treat assessment completion or a high score as universal permission to market.

## Definition

An assessment email permission matrix maps each message purpose to its recipient, trigger, data, permission or legal-basis decision, opt-out behavior, and stop conditions. It prevents a convenient technical trigger—such as completion, score band, or segment membership—from being mistaken for authority to send every later message.

## Method and evidence

On October 18, 2026, we rechecked involve.me's current follow-up, multi-step workflow, contact, segment, opt-in, and opt-out documentation plus the ICO's electronic-mail marketing guidance, updated April 28, 2026. We then routed one synthetic contact through four message purposes and twelve deterministic cases. This is an implementation and governance framework, not legal advice.

Evidence type: Four-purpose message matrix, ten-field permission record, worked contact timeline, and twelve deterministic routing tests. See the [publication methodology](https://best-assessment-tool.com/methodology) and [correction path](https://best-assessment-tool.com/corrections).

## Classify four message purposes

One email can have mixed purposes. If promotional content is added to a result message, evaluate the whole design instead of assuming the result request covers the marketing.

PurposeExamplePrimary recipientRouting boundaryRequested resultLink or copy the person asked to receiveRespondentLimit content to the requested transaction unless another basis appliesOperationalSecurity, booking, payment, or service updateRespondentNecessary service information; avoid promotional expansionMarketing nurtureEducational sequence, offer, or sales invitationRespondentApply the consent or other electronic-marketing rule that actually appliesInternal alertQualified-lead notification and review taskAuthorized staffMinimize data and enforce role-based access

## Store a ten-field permission record

Keep contact ID, channel, address or endpoint, permission state, scope, source, captured timestamp, notice version, jurisdiction or rule set used by the publisher, and suppression timestamp or reason. Store the assessment and scoring versions separately.

The score should not overwrite permission. Do not infer permission from an outcome, category, hidden field, or generic form completion unless that exact mapping was designed, disclosed, and reviewed.

## Work one contact through the routes

A respondent completes a cybersecurity-readiness assessment, asks for the result by email, scores 78, and does not select the optional marketing checkbox. The system may execute the approved requested-result route. It should not enroll the contact in the score-band nurture workflow merely because the score is high. An internal alert may create a limited review task if the organization has documented that purpose and access.

If the respondent later gives valid permission for the stated marketing scope, a segment or property change can enroll the contact in the appropriate multi-step sequence. If the contact unsubscribes, suppression must stop later marketing steps and future segment-triggered enrollment.

## Map the platform capabilities honestly

involve.me currently documents single follow-up emails and multi-step Email Automations triggered by funnel activity, contact creation, segment changes, or schedules. Workflows can branch on answers, scores, outcomes, contact properties, engagement, and opt-in status; actions include participant email, contact updates, tags, assignee changes, and internal email.

Its documentation also says publishers must have the consent required by applicable law, the unsubscribe link cannot be removed, and an opt-out prevents further workflow emails. The CRM documentation says opt-out is permanent in the interface and warns that an opted-in status only means the contact has not unsubscribed; it is not double opt-in. These are useful controls, but the publisher still defines purpose, permission, access, retention, suppression, and jurisdiction-specific handling.

## Apply the legal boundary before launch

The ICO's current UK guidance says unsolicited electronic-mail marketing to individual subscribers generally requires consent or every condition of an applicable soft opt-in. Solicited marketing is treated differently because the person specifically asked for that message. Sender identity and a valid opt-out address remain required. The exact rule depends on location, subscriber type, relationship, purpose, collection context, and later legal change.

For consent, the ICO requires a freely given, specific, informed, unambiguous, affirmative choice and recommends retaining who, when, and how. A products-and-services soft opt-in has cumulative conditions, including direct collection during a sale or negotiation, similar products or services, an opt-out at collection, and an opt-out in every later message. Completing an assessment does not by itself prove those conditions.

Document who approved the rule set, when it was reviewed, and the fallback when jurisdiction or recipient type is unknown. When uncertain, suppress marketing and deliver only the separately authorized or necessary message.

## Run twelve deterministic tests

Run these cases against synthetic contacts and inspect the execution log before activation.

- Complete without an email address and confirm no email workflow starts.
- Request only the result and confirm only the approved result message sends.
- Decline marketing and confirm score segments cannot override the decline.
- Give marketing permission and confirm the stored scope and notice version.
- Enter a high score without permission and confirm nurture stays suppressed.
- Enter a low score with permission and confirm the correct educational route.
- Trigger an internal alert and verify it contains only necessary fields.
- Unsubscribe during a multi-step sequence and confirm later steps stop.
- Re-enter a qualifying segment after unsubscribe and confirm no re-enrollment.
- Delete or anonymize the contact and verify the documented downstream action.
- Retake under a new scoring version and confirm permission remains an independent record.
- Inspect logs for one contact and reconcile every sent, skipped, and suppressed action.

## Preserve specialist boundaries

Clinical, employment, educational, certification, and psychometric workflows can involve sensitive or consequential information and stricter duties. Use specialist systems, privacy and security review, and qualified legal or domain guidance. Do not place sensitive answers in ordinary marketing-email variables or broad internal alerts.

## Practical next step
