# Assessment Data Minimization: A Field-by-Field Checklist

Collect an assessment field only when a named purpose requires it. Explain that purpose before collection, choose the least detailed value that will do the job, limit downstream access and automation, set a retention rule, and delete or anonymize the data when the purpose ends. A useful personal result does not justify collecting every fact a sales team might someday want.

## Definition

Data minimisation means keeping personal data adequate, relevant, and limited to what is necessary for a stated purpose. Purpose limitation means specifying legitimate uses before collection and avoiding incompatible reuse. The UK Information Commissioner's Office uses the British spelling “minimisation”; this guide uses the same principle in a low-stakes lead-assessment workflow.

## Method and evidence

We applied the ICO's current purpose-limitation, data-minimisation, and storage-limitation guidance to fourteen candidate fields in a synthetic consulting assessment. We then ran a worked reduction and eight governance tests. involve.me's current feature table and funnel-settings documentation were rechecked on September 27, 2026 for scoring, contact fields, exports, email automation, CRM, and response retention. This is an operational inventory, not legal advice or a determination of lawful basis.

## Use a five-question test before collecting a field

A field belongs in the assessment only when the team can answer all five questions. If the answer is unclear, exclude or postpone the field until the purpose and controls are defined.

- What exact result, route, obligation, or requested service needs this field?
- Could a less specific value perform the same job?
- Must it be collected before the respondent receives the personal result?
- Who can access it, and which automations may use it?
- When will it be deleted, anonymized, aggregated, or reviewed?

## A 14-field purpose map

This map is a worked design aid, not a universal retention schedule. A field can be necessary in one assessment and unnecessary in another. The final column names the decision that must be documented rather than prescribing a period.

## Worked reduction: eleven requests become seven launch fields

A draft consulting assessment requests full name, work email, phone, company, exact revenue, employee count, budget, role, country, problem description, and every raw answer. The promised result is emailed and changes only with scored answers, company-size range, and role function.

The launch version keeps the assessment version, necessary scored answers, overall band, email, preferred name, company-size range, and role function. It removes phone and country, replaces exact revenue and headcount with one broad company-size range, postpones budget until a requested sales conversation, and makes a narrowly worded problem description optional. Permission state is recorded separately if the respondent chooses ongoing follow-up.

## Set retention deliberately instead of accepting a default

The ICO says organizations should justify how long personal data is kept, review it, and erase or anonymize it when it is no longer needed. There is no universal retention period: the period follows the documented purpose and any applicable legal obligations.

involve.me currently says completed submission and contact data on paid plans is stored indefinitely until it is manually deleted. Its Scale plan offers configurable shorter retention periods; the free plan has a fixed 30-day period. Those controls can implement a chosen schedule, but the assessment owner still has to select, document, and operate the policy. An indefinite platform default is not evidence that indefinite storage is necessary.

## Keep follow-up inside the declared purpose

A score-aware sequence may use the assessment band and the next step the respondent requested. It should not turn a sensitive answer into a new marketing segment merely because the platform can. A withdrawal should stop the relevant messages while preserving only the accountability record the policy requires.

involve.me currently documents scoring, email automation, and a built-in CRM from Start, with contact and custom hidden fields on higher plans. Native continuity can reduce transfers between tools, but it does not decide necessity, access, lawful basis, or retention. A connected CRM can be appropriate when it is the governed system of record, provided the export does not create an uncontrolled duplicate.

## Run eight governance tests before launch

For every test, inspect both the respondent experience and the stored data state. Record the rule version, expected action, actual action, and cleanup result.

- Leave an optional field blank and verify that the promised result still works.
- Deliver a result without sales permission and verify that no nurture sequence starts.
- Withdraw permission after enrollment and verify suppression across every active branch.
- Request deletion and verify removal from the assessment platform, exports, and connected systems under the policy.
- Cross the retention deadline and verify deletion or anonymization without breaking aggregate reporting.
- Publish a new assessment version and verify that old results retain their original interpretation.
- Export to an external CRM and verify field purpose, access, version, and deletion propagation.
- Use an unauthorized staff role and verify that sensitive answers and free text remain inaccessible.
