## Minimum assessment contact property map

Start with fields that explain the result and control a real downstream action. Add more only when a documented use requires them.

## Separate raw answers, calculated fields, and staff decisions

Raw answers record what the respondent selected or wrote. Derived fields record formula outputs such as scores, bands, and strongest dimensions. Staff decisions record later judgments such as accepted opportunity, disqualification reason, or consultation outcome.

Do not overwrite a raw answer with a later interpretation, and do not label a calculated band as a staff-qualified opportunity. Clear boundaries stop reporting and email logic from treating self-reported data as verified fact.

## Which assessment answers deserve a contact property?

Create a durable property when an answer changes the result, routing, personalization, consent, or a material decision. Leave low-value display answers in the submission record or structured response object when the platform supports it.

Ask whether a field will appear in a result sentence, sequence condition, audience segment, report, or human review. If none applies, promoting it to a top-level contact property usually adds operational noise.

## Worked example: two readiness contacts

Respondent A scores 72.5 and lands in Validate. Urgency is the strongest dimension, ownership is the main constraint, and no critical gate applies. The personal result recommends confirming a sponsor before discovery. The record saves those exact values, and a follow-up branch uses result_band = validate plus primary_constraint = ownership to send the sponsor worksheet.

Respondent B has an arithmetic total of 76 but an ownership score below the published minimum. The scoring rule applies the gate, saves critical_gate_applied = true, assigns result_band = prepare, and recommends sponsor_alignment. The saved record matches the visible result instead of retaining an uncapped band that could start the wrong sequence.

## Naming and versioning rules

Treat the map as a data contract shared by the assessment, result page, contact record, automation, and reporting.

- Use stable identifiers such as result_band rather than display copy as field names.
- Keep score units consistent instead of mixing raw scales and percentages in one field.
- Use controlled values for bands, constraints, consent states, and next steps.
- Save an assessment version whenever wording, weights, thresholds, or gates change.
- Retire an old field explicitly instead of reusing it for another meaning.
- Document whether every field is raw, derived, or decided by staff.
- Exclude sensitive data that is unnecessary for the stated assessment purpose.

## Native CRM or external system of record?

A native CRM reduces handoff points when the answers and calculated result already belong to the same contact context. An external CRM remains appropriate when it is the organization's governed system of record, but mapping, deduplication, retries, permissions, and failure alerts must be tested.
